Summit Planning Meeting - April 9, 2004

Red Lion Hotel, Olympia  10:30-11:15 a.m.

In attendance:
Aysha Haq, 2004 Summit Project Manager
David Woodward, 2004 Grant Project Director
Michele Anciaux Aoki, 2004 Grant Communications Director

This was a quick debrief meeting following our presentation to NAFSA.

NAFSA Follow-Up

NAFSA made a list of To Do items:

  1. Join the Coalition
  2. Summit logistics (in-kind contributions)
  3. Summit content planning
  4. Publicity
  5. National/Regional NAFSA support for the Summit

Logistics for Summit Registration

For registration, we can use an online form on the website similar to our Get Involved Form (that collects contact information). The data from these forms get collected in a private Excel spreadsheet on the site. We'll include a question about attending the luncheon (at a cost). Michele will forward those registration forms to A.C.E. so that A.C.E. can invoice those people for payment for the luncheon. (We can use a similar process if there are paid classes.)

Ideas for Summit Schedule

We talked about several possibilities. Because of holding the Summit in Olympia, the timing of events may be different. Here are some idea:

10:00-12:00 Large group -- possibly Technology focus, highlighting iEARN projects
12:00-1:15 Lunch with keynote
1:30-2:30 Breakout
2:45-3:45 Breakout
4:00-5:00 Candidates' Forum
5:00-7:00 Global Classroom Resource Fair
Washington in the World (Business) Fair
with hors d'oeuvres reception, mini-presentations

Next Steps

  1. Michele will forward planning template to Aysha with updated tasks.
  2. David will follow up with NAFSA about their To Do list.
  3. Michele will put Aysha in touch with Sue Ranney about using Hamilton International Middle School for Summit meetings.
  4. Aysha will set up Summit Planning Meetings.
  5. Michele will draft a Summit Communications/Outreach Plan.
